Coeus to JAWS Feed Implementation

Over several months the JHURA team has been working to develop an intake data feed from Coeus to JAWS. This effort was made to streamline processes, eliminate duplicative entry, and ensure consistent information across systems. This data feed will also facilitate remote work by ensuring that we have accurate and complete information at the proposal stage.

As a result of this new system integration, an approved Coeus Institute Proposal record will be required in order to create a JAWS record for a related funded agreement.

The departmental process when submitting the JAWS Intake Webform for funded agreements will not change as long as a Coeus Institute Proposal Number (IPN) is included. Please be aware that, once this technology upgrade is in place, there will be a hard stop built into our JAWS Intake Form.

The hard-stop will refuse the submission of funded agreements without a related Coeus IPN included in the JAWS webform. JAWS Intake Forms will not be submitted and SAP account set-ups will not begin without the IPN.

This process does not apply to unfunded agreements (agreements where there is no money involved, such as Non-Disclosure Agreements (NDAs), Data Use Agreements (DUAs), Memorandums of Understanding (MOUs), etc.)

The implementation date for this hard stop has not yet been determined, but the date will be announced in the coming weeks.

Following this process will allow JHURA to verify that all required compliance checks have been completed, including those of divisional business offices (Facilities & Administrative (F&A) recovery, cost-share approvals, etc. ) and central JHU institutional policies (Conflict of Interest (COI) disclosures, PI effort, Subrecipient notices, IRB notices, etc.) per federal requirements.
